Sometimes, decisions are made for us by others. And in this case there is no different – Polish companies will be forced to change their current financial and accounting processes due to a revolution in invoicing, which will take place starting from July 2024.
Starting from July of the coming year, a structured invoice will become a mandatory form of settlement for Polish companies. In terms of invoicing, the key point in processing is by KSeF (National e-Invoicing System), which is a cost-free platform developed by the Ministry of Finance.
The system is used for issuing and receiving invoices and applies to:
▪ Entrepreneurs registered as active VAT taxpayers,
▪ Entrepreneurs exempt from VAT,
▪ Entrepreneurs identified in Poland for the special EU OSS procedure with a Polish VAT ID.
Meanwhile, 6 out of 10 respondents have not yet begun work on preparing their organizations for the KSeF. Nearly half of asked companies are quite concerned about the introduction of the KSeF obligation and quietly hope that the deadline will be postponed. Uncertainty about regulations, the complexity of the invoice scheme, developing an optimal process for issuing and sending e-invoices are just a few of the issues they see on the path to change. 30% of respondents are worried about system integration and choosing the right tool.
Before we answer the question of when to start preparations, let's begin with the question 'what should be the first step?' And in this case, the answer is simple: with preliminary analysis. It's at this stage that we'll define the areas to focus on when aligning the organization with KSEF legal regulations. The more issues we identify, the more time we'll need for implementation.

The Introduction of KSeF will Drive the Digital Revolution. 100% digitization of financial document workflows and faster circulation of information will become the reality for the majority of Polish companies, sooner than anticipated. However, there’s no optimism on the horizon - our research indicates quite the opposite. When asked if they will be ready by the start date of July 1, 2024, as many as 1/3 of the respondents respond that it might vary and that they are full of concerns.
